Position Summary: In addition to the duties as are specified in the Operations Manual relating to the
within job description, an Administration Clerk provides the services of a clerk, typist, secretary,
receptionist or any combination thereof, depending upon the circumstances and needs of the First Nation
at the time and as directed by the Stewardship Director or Designate from time to time.
Duties Include: Notwithstanding the above general duties, an Administration Clerk has the following job
responsibilities:

As a Clerk, Typist, Secretary and Receptionist

a. Is a member of a support services team, providing support and clerical, secretarial, receptionist
and support services to the First Nation;
b. Provide clerical, typist, secretary, receptionist support services and without restricting the
generality of the foregoing, including mail, reception duties (telephone and greeting),
incoming/outgoing faxes, delivery and receipt of merchandise, typing, filing, operation of office and
computer equipment together with computer software programs relating to word processing, file
management and internal email;
c. Perform minute taking for Stewardship meetings including ensuring agenda is prepared prior to
meetings and minutes are recorded and handled in a timely matter;
d. File documents based on instruction or request;
e. Place purchase orders based on program manager’s request;
f. Responsible for staff’s travel bookings and travel reimbursement claims in a timely matter;
g. Responsible for accommodations including bookings, receipt of payment, providing receipts for
payments and communicating with the custodian for cleaning services of accommodations;
h. Responsible for bookings of the boardroom, including receipt of payment, providing receipts for
payment when applicable and communicating with the custodian for cleaning services of the
meeting room;
i. Responsible for receiving cheques, proper security of cheques and ensuring all are recorded and
handled in a timely matter;
j. Assist with newsletters, community postings and office announcements;
k. Assist with office supplies orders including ensuring order is fulfilled and arrangements for delivery
of supplies;
l. Assist with fuel/propane orders for the office building including ensuring order is fulfilled and
purchase order is complete;
m. Comply with the provisions of the Operations Manual;
n. Adhere to the Code of Conduct as contained in the Operations Manual;
o. Carry out the instructions of the Stewardship Director or Designate that is relevant to the position
and as provided from time to time;
p. Encourage and foster a team spirit within the First Nation office and operations in general.
Qualifications:
 Recommended grade 12 or equivalent with a willingness to take training in administration;
 Demonstrate proficiency in typing;
 Computer literate with some basic knowledge of Microsoft Office and in particular Microsoft Word;
 Familiar with office machines including photocopier, fax machines, phone system and other office
equipment;
 Good communication and interpersonal skills.
