POSITION SUMMARY: Under the general supervision of the Housing & Public Works Department Manager, the Housing & Public Works Administrative Assistant is responsible for administrative support, clerical duties and support services for ongoing administrative requirements of the operational goals and objectives in a professional and culturally appropriate manner.

JOB RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
1. Perform administrative and clerical support to the Manager:
• Assist in data entry, file management and maintain accurate reports and files;
• Assist in maintaining up to date records of mortgage files, information and other related documentation;
• Perform clerical functions such as receiving clients, arranging conference calls and scheduling meetings including venue bookings, catering requirements, set up venue with audio-visual equipment, flip charts and other requirements of meetings;
• Prepare and safeguard confidential administrative services including forms, schedules, correspondence and distribute as required;
• Prepare expenditures, payment authorization forms and administrative documents for authorization, such as cheque requisitions, purchase orders, work orders and other related documentation;
• Prepare meeting agendas, record and distribute meeting minutes and maintain organized files;
• Operate office equipment including coordinate any required repairs to office equipment and maintaining adequate office supplies;

2. Assist in support services within operational goals and objectives:
• Assist with planning and identifying regular and preventative maintenance services;
• Prepare reconciliation documents per requirements including rent receivables and account summary;
• Participate in strategic planning sessions including working cooperatively with all team members to support work plan activities;
• Coordinate liaison activities with other agency departments;
• Assist in creating databases and preparation of presentations and reports;
• Assist with project management including preparation of project contracts, project site visit to confirm project progress and project completion;
• Assist in coordinating of information reporting and communication strategies including website updates to Klemtu.com and department communications to internal and external audiences;
• Assist in rent collections receiving all payments to band entities including housing payments and providing receipts; perform all aspects of e-deposits, including processing cheques and proper security of cheques; perform handling of cash including proper cash security, proper counting, trading of cash and ensuring all payments, cheques and cash are recorded and handled in a timely matter;

3. Comply with the provisions of the Operations Manual;
4. Adhere to the Code of Conduct as contained in the Operations Manual;
5. Encourage and foster a team spirit within the First Nation office and operations in general;
6. Carry out the instructions of the Housing and Public Works Department Manager or designate that is relevant to the position and as provided from time to time.

QUALIFICATIONS:
• Knowledge of Kitasoo Xai’Xais programs, operations and culture
• Strong oral, written and interpersonal communication skills
• Demonstrated planning, organizational and clerical skills
• Strong computer skills required
• Ability to work independently, as part of a team, take initiative and possess good judgment
